Position Summary
The Operations and Grants Manager (Manager) is responsible for the general Clark Foundation administration and the management of a grant portfolio in the Clark Foundation’s secondary areas of focus. 
The Manager will be responsible for developing and implementing procedures to increase operational efficiency of the office, ensuring the successful management of the Clark Foundation’s grants management system, and will serve as the first point of contact for all inbound inquiries. The Manager provides operational support to the President and CEO and Program Directors. S/he will also work closely with the Clark Foundation Board Chair and President and CEO to manage a portfolio of grants that fall out of the Foundation’s key strategic areas but are still important to the mission of the Clark Foundation and the Clark Family.
The ideal candidate is able to handle multifaceted assignments under tight deadlines and demonstrates superior organizational, detail management and communication skills, and the ability to prioritize efficiently. In addition, s/he is passionate about the mission of the Clark Foundation, and has a proven track record of working independently in a dynamic and evolving organization. 
Specific responsibilities include:
Foundation Administration: 

  • Initiate, track, process and send grant letters and payments
  • Create and maintain physical and electronic grant files, in coordination with Program Directors
  • Initial reviewer of mail, invitations, solicited and unsolicited grantee requests, gift acknowledgment letters, and personal correspondence for the Clark Foundation, Board of Directors, and President and CEO
  • Manage all Clark Foundation grant payments, invoices, expense payments and budgeting
  • Support the President and CEO in Foundation endowment management, budgeting, and regulatory requirements
  • Manage employee giving program
  • Develop quarterly Clark Foundation newsletter for internal distribution
  • Manage all marketing and communications needs of the Clark Foundation in conjunction with outside communications firm
  • Serve as point person for all external meeting arrangements and logistics, and coordinate planning and preparation for all Trustee meetings
  • Coordinate resources from other departments/units (e.g. accounting, IT, legal, etc.)
  • Oversee special projects and other duties as assigned

Grants Management:

  • Support the Clark Foundation’s Board Chair and President and CEO in meeting with potential grantees that fall into the Foundation’s secondary areas of focus
  • Meet with grantees, perform due diligence, make recommendations, manage grantee relationships, and monitor performance


  • Bachelor’s degree and program management experience, preferably in a nonprofit or philanthropic foundation setting
  • Meticulous attention to detail and ability to manage changing priorities and competing deadlines to ensure accuracy and high-quality standards
  • Demonstrated ability to work independently and proactively in a fast-paced environment, lead projects, meet multiple concurrent deadlines, and organize time and priorities with minimal supervision
  • Track record of successfully developing and managing relationships with external stakeholders
  • Excellent writing, editing, research, and proofreading skills
  • Strong computer skills with proficiency working with budgets, databases, web-based systems, common online research tools, and with Microsoft Office applications
